Project reviews and layout drawings are compiled using the best physical evidence available on-site and from official registry baselines. Formal legal boundary staking remains subject to a certified Real Property Report (RPR) executed by a licensed Saskatchewan Land Surveyor.

  • Fixed scope, no retainer

Sound familiar?

  • Halfway through and the information is everywhere.

Quotes in email, drawings in three versions, a municipal condition someone was told about verbally. We pull it into one indexed document.

  • Handing the project to someone else.

A council, a board, a new manager or a buyer. The playbook is written for someone who wasn’t in the room when the decisions were made.

  • Three specialists, three invoices, one question.

Structural, geotechnical and survey work coordinated under fixed-price agreements, so the numbers hold and the scope doesn’t drift.

The project outlives everyone’s memory

Staff change. Councils turn over. A contractor who knew the site retires. Without a record of the reasoning, a decision that was carefully made looks arbitrary, and a project that was done properly becomes hard to explain.

The other version of the problem is cost. When nobody can find the original quote or the original condition, work gets redone, or someone gets paid to reconstruct what was already known. And when sub-consultants aren’t coordinated, each one bills for their own piece of the same question.

A playbook fixes the reasoning in place while people still remember it.

How we can help

By the middle of a project the information is everywhere. Quotes in email, drawings in three versions, a municipal condition someone remembers being told about, a decision made in a meeting nobody wrote down.

A playbook pulls all of it into one indexed document. Technical reports, subcontractor quotes, municipal requirements, and the reasoning behind each decision, in order. It’s built for property owners, developers, contractors and municipal staff who want to know exactly where the project stands, what it will cost to finish, and what happens next.

We bring in the specialists a project needs along the way, structural and geotechnical engineers and surveyors among them, under fixed-price agreements. Their numbers go into the playbook as fixed costs, not allowances, so the budget stops moving.

The point is to make you independent. The playbook is written so you can walk into the next council presentation, permit submission or contractor meeting on your own. If you’d rather have us there, we’re available. The document doesn’t need us.

Inside a playbook

What the document actually contains

Costs, policy and sequence in one indexed manual, written for someone who wasn’t in the room when the decisions were made.

  • Real numbers, not estimates

    Fixed costs to completion

Past invoices compiled, remaining engineering and drafting locked at flat fees, and sub-consultant pricing consolidated so the budget stops moving.

  • Which rules apply, and how they connect

    Policy map

Zoning bylaws, the Official Community Plan, provincial environmental rules and health authority requirements, mapped onto your project so a change in one doesn’t quietly break another.

  • The sequence, in order

    What happens next

A chronological list of required next steps, with the submission pathway for each, so the document works as a plan rather than an archive.

The process

How it goes, step by step

Five steps, in the order they happen. The engagement ends at handover.

  1. Gather everything

    Consolidation

Technical reports, past invoices, design packages and municipal correspondence collected out of the inboxes and drives they’re scattered across, then indexed.

  2. How the rules connect

    Policy map

Zoning bylaws, the Official Community Plan, provincial environmental regulations and health authority rules laid out against your project timeline.

  3. Bring in the experts

    Specialists

Structural, geotechnical and survey work coordinated under fixed-price, lump-sum agreements so their numbers hold and their scope doesn’t drift.

  4. Answer it in advance

    Settle the friction

Known problem spots, like a drainage question or a footprint that needs resizing, resolved and written into the file before a reviewer raises them.

  5. Yours to run

    Handover

A status report and master project manual with fixed costs, a document control log, and the mapped path forward. The engagement ends here.

What to send us

  • Every quote and invoice on the project so far
  • The drawings and reports you have, in whatever versions exist
  • Correspondence with the municipality, including any conditions of approval
  • A note on any decisions that were made verbally and never written down

Send it messy. Sorting it is the first step, and it’s ours.

What comes back

One manual, indexed, with the numbers fixed.

  • Master project manual: every report, quote, condition and decision, indexed and in order, with the reasoning attached

  • Fixed cost-to-completion schedule: invoiced amounts compiled, remaining engineering and drafting locked at flat fees, project management capped

  • Document control log and next steps: which version is current, and the sequence of what happens next with the submission pathway for each

Shaped around your project, not a template. Built to work without us.

Sample layout

Fixed scope, no retainer

One document. Fixed costs. Then you run it.

The scope is set before we start and the engagement ends at handover. The playbook is written so you can take the next submission, hearing or contractor meeting on your own. If you want us there, we’re available. There’s no retainer and no monthly billing.

Questions we get about this

Fixed technical cost schedules, including flat-fee engineering and drafting quotes. A mapped review of the municipal and provincial policy that applies. The risk mitigations already built into the project, like footprint sizing and drainage assumptions. Subcontractor procurement details. And a chronological list of what happens next.

The opposite. The playbook is written so you can approach the next council presentation, permit submission or contractor discussion on your own, even if municipal development is new to you. If you want us there, we’re available. The document is built to work without us.

By fixing the numbers. The playbook compiles everything invoiced so far, locks flat-fee pricing for the remaining third-party engineering and drafting, and caps the project management hours. You know the cost to completion from the day you receive it.

A project manual and master document index shaped around your project, not a template. Beyond the document itself, you get a settled technical baseline, a clear picture of your costs, and enough context to move forward independently.

Yes, and it’s one of the more useful things about it. Council briefings, funding submissions and regulator responses all pull from one source, which is what keeps the account of your project consistent as it moves between audiences.

Before the people who know it move on

Write it down while it’s fresh

A playbook costs less to build during the project than to reconstruct after it. Tell us what you’re working on and we’ll scope one.
